Unlimited service providers, services and clients
Every SimplyBook.me plan includes an unlimited number of service providers, services, and clients. Pricing is based on number of bookings and number of chosen custom features. This enables you to start using the service even if you are only starting out building your business, without restricting the way your business is structured. We’re nice that way. :)
Service Providers
In the system, ‘Service Provider’ means whatever it is that you have that provides the service you offer. This can be an employee, equipment, room or whatever else you need it to be. In the system, you can customize the wording to call this whatever you want.
You can connect particular services to particular service providers and define how many clients each service provider can accept at once. Or you can allow your clients to book appointment with the next available service provider by using the Any Employee Selector custom feature.
You can also set different working hours for each service provider, irrespective of the general opening hours of your business or organisation. We totally understand that not everyone works full time 9-5, so you can set things up in whichever way suits you best. We’re kinda big on flexibility over here. ;)
You can also set special days, both for the business or organisation as a whole or just for a certain service provider. These are one off days that are different from the others, such as holidays and such.

By default, if you or someone has booked an appointment, that appointment is gone and no one else can book it. But we know that things aren’t always that simple. Sometimes one service requires more than one service provider. For example, a massage requires both the massage therapist and the room with the massage bench to be available. With SimplyBook.me you can ensure that unless everything is available that is needed for that service the appointment cannot be booked.
Another element which our system offers is that you can enable the Approve Booking custom feature giving you the option to approve or reject a booking before it is set in the calendar.
With our Group Bookings custom feature you can set exactly how many can book into one time slot, up to 99 people. Once the class is full, bookings are closed.

Events are a bit different to regular services. You can easily accommodate events within our software because an event is in fact just a provider with limited availability, one day or several days and only for certain hours. You then just set how many clients can attend by defining how many clients the provider can accommodate at same time.

By using the Take Me Back Home custom feature you can define the url to which your customers are directed once they have completed their booking. You can decide whether you give your customers the option to click through to the url or whether they are automatically redirected to a specific page of your choice.

If you have a member system within your business you can set that up with our Membership Feature. That way you can both sell new membership subscriptions and set up current members and thus only allowing members to book your services. Connect essential equipment, rooms or anything else of limited quantity to a service. Multiple resources can be connected to the same service when needed. This feature can be helpful if you have limited equipment supplies to perform a particular service. For example, if you have one massage room but three massage therapists, then clients will not be able to book a massage if the room is already occupied.

Booking Management
SimplyBook.me is an online booking system for companies and clients, universities and students, medical professionals and patients, and so on. Your clients can book online, while you can view and manage bookings from the admin interface online or through your admin app. You can manually schedule appointments, cancel them and reschedule them easily. The best bit, the system automatically notifies your clients about cancellations and rescheduling, but more on that in the Notifications section. If you are part of the medical profession, then you can enable our SOAP custom feature which allows you to insert time-stamped text records, attached to a specific client, to help you track your customers progress over time.
That means that you can manage all your bookings in one place on all devices, whether they come from the web, phone, email, SMS, in person or get sent from outer space (if you do get a booking from outer space, drop us a line, we’d loooove to hear about it!).

Another really handy feature is that you can make notes on the bookings. You can use them for whatever you need, marking the client as VIP, letting your staff know that they have specific needs or noting that they like white chocolate instead of dark - or whatever else is useful to you
Our Insight Information in the dashboard is also a very popular custom feature among our users. There you you can see information like:

You can also activate the Status custom feature to see the status of each booking. By enabling it you can see whether a client has arrived or if he has already left and paid. In the admin view we also offer the Visitor Counter custom feature whereby you can count the number of visitors coming to your website and therefore track how effective your website is in getting people to book an appointment.

You can have multiple system users at no additional cost AND you can give them different administrative rights or access levels. Although we believe all men and women are created equal, we know that when it comes to booking admin some hierarchy may be needed. ;)
- Users can have the right to manage everything and anything in the system

- Users can have a view only access.
This is great, for example, when you have, say, a salon. You as the owner or manager want to be able to manage everything, each staff member can then manage their own schedules, and the intern can just see what’s going on without being able to make changes.

As soon as you sign up for SimplyBook.me you get your own booking website, just for you and your business! This website can be your main and even only website as you can add more pages with information regarding your business and last but not least, accept bookings for your business!
The url for your website will be your company login followed by .simplybook.me: mycompany.simplybook.me - choose carefully. ;)
The simplest way to accept bookings is just to direct people to your booking website url where they can book themselves. If you only want specific people to be able to book you can use our Log In custom feature so that your clients have to log in before they can make a booking or even use our Membership Feature to restrict certain bookings of services to members only. Finally, should you wish to only use SimplyBook.me to manage your bookings yourself, without letting people book online, you can disable the booking website.
The booking website is responsive, meaning it works in all browsers and on all devices - well, all the normal ones anyway. If you are using something extremely funky, we can’t make any promises. ;)
Design Customization
We understand that looks matter. In business they actually matter a lot. Therefore, we don’t just provide good looking booking websites, with as many pages as you like, but we enable to you to customise them to get the look and feel you are after, and to enable you to get them in line with your brand.
Out of the BoxThe simplest way is to use the design features available in the admin interface. These will allow you to do lots of cool stuff like:
- Adjust colors to match your brand colors
- Insert your own logo
- Insert your own background image
- Add photos of staff and services

iBOB is an Intelligent Booking Oriented Bot that answers your phone, schedules bookings from your clients 24/7 and can redirect calls to you if he is asked to. You need iBOB credits to use iBOB as your personal assistant. iBOB is very fair, and does not charge much for his services. His services cost from only $2/month for a local phone number and from 0,12 cents per call/minute. Please remark, iBOB only speaks english language for now

The booking website is quite comprehensive, and for small businesses it may actually be plenty and mean that you don’t need another website. If you want to use your own domain, you could simply redirect the url to your booking website.
However, we quite understand that you may want to integrate the booking website with your own website and with SimplyBook.me that’s easy peasy. You can integrate it using an iframe, and if you are using Wordpress there is also plugin.
With custom features you can also set up things like a booking button for your website which either takes people to your booking page directly, or produces a pop up overlay for people to book so that they won’t have to leave the site to book. You can also get a booking and/or contact us tab.

Booking Confirmations
When your client books an appointment they receive a confirmation email with all the relevant information about the booking. Security Is Paramount
SimplyBook.me puts security first. All data security is two fold, first it is secured so that unauthorized personnel cannot access any delicate data in storage or transit, and second to minimize the possibilities of data loss. All passwords are securely stored and all system communication are encrypted.
As for data backup, SimplyBook.me does daily backups between disks as well as server centrals. We also have further security options as custom features, such as SSL encryption on client communication with the system (SSL encryption on administration communication with the system comes as default) and the HIPAA custom feature, you get top notch security features approved for use by the US Medical Authorities. If you want to delete sensitive old information you can use our Delete History custom feature where you clear old bookings from the system. Basically, you define when the bookings should be deleted (e.g. 1 week or 1 month after the appointment) and then the custom feature automatically deletes it according to those settings.
If you want to make sure that all your clients accept your terms and conditions before making a booking then you can enable our Terms & Condition custom feature which takes care of that for you.

Add security to your account. You can use a 2-step authentication when logging into your account preventing unauthorized access. Upon entering password, you'll be asked to insert 6-digit login code from your Google authenticator or a 3rd party app.

Now you can enjoy a seamless experience all the way from booking through client checkout. With the online payment and native POS system, you can offer your clients to book your services online, sell gift cards, create promotions, accept online payments and accept cash or credit card payments on site.
On-Site Payments with POS
The POS feature allows you to have both sales and bookings in the same place, facilitating your overall business administration. More precisely, it allows you to:
- Accept multiple payment types including cash, credit/debit cards & gift cards
- Apply coupon codes upon checkout
- Enter a new booking and sale of services & products for clients who just walked in

In order to accept payments with credit card on-site, you need to get hardware from your payment processor (handheld device or mobile credit card reader). The hardware will not be directly connected but will work as a standalone with our software so you can choose which hardware you prefer.
The system has been optimized for iPad, Samsung tablets and mobiles but can also be used on other devices. It will work perfectly with laptops and PCs as well. After a client has received a service, you find the booking on the SimplyBook.me platform and choose whether the client wants to pay with credit card or cash and the system takes care of the rest.

With SimplyBook.me you can accept secure online payments through a wide range of payment processors enabling you to charge for your services when booked, in part or full. This can not only improve your cash flow but can also greatly reduce no shows. Simply connect with your payment service and set the price for your services.
- Charge the full price or partial price, such as a confirmation fee.
- We don’t add any charges to your payment processes nor charge extra for money transfer.
- Once the booking and payment are completed, the money is transferred straight to your account.
- If the client does not pay within the payment timeout, set by you, the booking will be automatically cancelled.
We offer a whole range of payment processors including PayPal, Zooz, Stripe, Skrill and Dwolla. You can choose which one to use or even use several payment processors to give your clients an option of how to pay for your services. You can create coupons and promo-codes for all services, only specific ones, products, or other add-ons. Coupons are very flexible; you can choose a fixed discount amount or percentage and define validity (specific days or even parts of the day). Send them to your clients by email or SMS to use during slow days or periods or whenever you want.

With SimplyBook.me you can create a promotion for your services offering discounts on all or selected services, to all or only new clients. Set the campaign duration and limit the time in which the offer can be claimed or the quantity available. You can also limit how often each client can claim the offer. Maximize your earning potential with the Product Sales and Service Add-ons custom features.
The Product Sales feature allows you to sell products to clients before they confirm their booking, like selling a shampoo or a gel to a client that has just booked a haircut. You can connect related products to specific services, so that you propose a bottle of shampoo when the client is booking a haircut but a nail polish upon manicure booking.
The Service Add-on feature is used to sell certain add-ons to your service where the client receives something extra for an added price. An example would be some special product being used during the service that is of value to the client. He can select to add this add-on, or he can skip it, if he prefers your basic service. You can create one or more add-on to each service.

To ensure that not just anyone from wherever can leave a review, customers are required use their Facebook account for identification. You can set the timing of the email and this feature can of course also be disabled.

The Facebook & Instagram Bookings feature allows you to accept bookings through those channels in four different ways:
- A “Book Now” button will be added to your Facebook page and Instagram profile.
- Create social posts that include a “Book Now” button, so clients can book directly.
- Allow clients to book through Facebook Messenger via an automatic booking link.
- Facebook will display a small scheduler on your profile that features services you want to highlight.

Do you want your potential local customers to find you on the first page of their Google search? Businesses that have a completed Google Business profile will rank higher on the list of local results. The integration allows you to import contact details, working hours, and most importantly include an online booking option by adding a “Book Now” button or a link to your booking page, directly from your SimplyBook.me platform to Google.detailscloseIt’s a big old world out there and even though we think it would be a great idea if everyone just spoke Esperanto, that’s not likely to happen any time soon. So that’s why we provide SimplyBook.me in lots and lots of different languages.

(Although we would love to, we ourselves don’t speak all these languages. Therefore our support is mainly provided in English, although we have some oddballs around that can speak some other languages. We do encourage you to challenge us to speak more than just English, but do bear with us if we don’t. The system however is much smarter than we are when it comes to languages, and so many other things!)

Unlimited service providers, services and clientsEvery SimplyBook.me plan includes an unlimited number of service providers, services, and clients. Pricing is based on number of bookings and number of chosen custom features. This enables you to start using the service even if you are only starting out building your business, without restricting the way your business is structured. We’re nice that way. :)In the system, ‘Service Provider’ means whatever it is that you have that provides the service you offer. This can be an employee, equipment, room or whatever else you need it to be. In the system, you can customize the wording to call this whatever you want.
You can connect particular services to particular service providers and define how many clients each service provider can accept at once. Or you can allow your clients to book appointment with the next available service provider by using the Any Employee Selector custom feature.
You can also set different working hours for each service provider, irrespective of the general opening hours of your business or organisation. We totally understand that not everyone works full time 9-5, so you can set things up in whichever way suits you best. We’re kinda big on flexibility over here. ;)
You can also set special days, both for the business or organisation as a whole or just for a certain service provider. These are one off days that are different from the others, such as holidays and such.
Your services are what you sell to your customers. They can vary in duration, you can enable multiple services to be booked at once, connect a particular service to a particular service provider, group them into categories, set a limit on how many can book at once (such as for classes or other group activities) and all sorts of other good stuff with our custom features.Every business and organisation is different and schedules can vary greatly. That’s why we keep things flexible. You can:
- Set general opening hours for your business or organization
- Set the working hours for each service provider
- Set special days, such as holidays
- Add Buffer Time between services to avoid back-to-back bookings
You set things up exactly the way they need to be for you!
By default, if you or someone has booked an appointment, that appointment is gone and no one else can book it. But we know that things aren’t always that simple. Sometimes one service requires more than one service provider. For example, a massage requires both the massage therapist and the room with the massage bench to be available. With SimplyBook.me you can ensure that unless everything is available that is needed for that service the appointment cannot be booked.
Another element which our system offers is that you can enable the Approve Booking custom feature giving you the option to approve or reject a booking before it is set in the calendar.
With our Group Bookings custom feature you can set exactly how many can book into one time slot, up to 99 people. Once the class is full, bookings are closed.
No-shows can be expensive for servicing companies! With our Cancellation Policy custom feature you can define the time within which clients can cancel appointments.
Choose the most convenient way for your clients to see your booking availability with different timelines, such as:
- Daily, weekly or monthly view
- Availability by date
- Availability by classes
We know that not every booking is for a single appointment. Sometimes people want to book regular appointments or service packages, like personal training three times a week for 12 weeks, or weekly Klingon classes or 6 massage sessions or whatever. That’s why the system enables you to accept recurring appointments. Neat, isn’t it? :)
Events are a bit different to regular services. You can easily accommodate events within our software because an event is in fact just a provider with limited availability, one day or several days and only for certain hours. You then just set how many clients can attend by defining how many clients the provider can accommodate at same time.
By using the Take Me Back Home custom feature you can define the url to which your customers are directed once they have completed their booking. You can decide whether you give your customers the option to click through to the url or whether they are automatically redirected to a specific page of your choice.
If you have a member system within your business you can set that up with our Membership Feature. That way you can both sell new membership subscriptions and set up current members and thus only allowing members to book your services. You can also allow everybody to book your services and perhaps only give discount to members...the options are endless!
Create and manage different kind of classes or events for your service business. If you have the membership feature, you can even relate classes to selected memberships.
With the packages custom feature you can create a package of multiple services, or, if you also sell products, combine services with products, add-ons, and classes. Each package can be defined with any number of service and products, and you can set the validity to any time period that suits you. Once clients have purchased a package, they can book a service at any time paying with their package credits. They can always check how many occurrences are left within each package.

Show how many spaces are left when you accept multiple clients per session, such as for classes and events. You can choose to show the total number of spaces available as well as the number of spaces left.
Connect essential equipment, rooms or anything else of limited quantity to a service. Multiple resources can be connected to the same service when needed. This feature can be helpful if you have limited equipment supplies to perform a particular service. For example, if you have one massage room but three massage therapists, then clients will not be able to book a massage if the room is already occupied.
Allow your clients to reschedule their bookings via the booking website or through a rescheduling link in the notification messages.
Issue tickets for any of your events, classes, or services. Your clients will automatically receive tickets upon booking, including a QR code. You can then use the admin app to scan the QR code or enter the ticket code manually on the admin interface.
Booking ManagementSimplyBook.me is an online booking system for companies and clients, universities and students, medical professionals and patients, and so on. Your clients can book online, while you can view and manage bookings from the admin interface online or through your admin app. You can manually schedule appointments, cancel them and reschedule them easily. The best bit, the system automatically notifies your clients about cancellations and rescheduling, but more on that in the Notifications section. If you are part of the medical profession, then you can enable our SOAP custom feature which allows you to insert time-stamped text records, attached to a specific client, to help you track your customers progress over time.

You can also activate the Status custom feature to see the status of each booking. By enabling it you can see whether a client has arrived or if he has already left and paid. You can have multiple system users at no additional cost AND you can give them different administrative rights or access levels. Although we believe all men and women are created equal, we know that when it comes to booking admin some hierarchy may be needed. ;)

The url for your website will be your company login followed by .simplybook.me: mycompany.simplybook.me - choose carefully. ;)
The simplest way to accept bookings is just to direct people to your booking website url where they can book themselves. If you only want specific people to be able to book you can use our Log In custom feature so that your clients have to log in before they can make a booking or even use our Membership Feature to restrict certain bookings of services to members only. Finally, should you wish to only use SimplyBook.me to manage your bookings yourself, without letting people book online, you can disable the booking website.
The booking website is responsive, meaning it works in all browsers and on all devices - well, all the normal ones anyway. If you are using something extremely funky, we can’t make any promises. ;)
We understand that looks matter. In business they actually matter a lot. Therefore, we don’t just provide good looking booking websites, with as many pages as you like, but we enable to you to customise them to get the look and feel you are after, and to enable you to get them in line with your brand.

iBOB is an Intelligent Booking Oriented Bot that answers your phone, schedules bookings from your clients 24/7 and can redirect calls to you if he is asked to. You need iBOB credits to use iBOB as your personal assistant. iBOB is very fair, and does not charge much for his services. His services cost from only $2/month for a local phone number and from 0,12 cents per call/minute. Please remark, iBOB only speaks english language for now
The booking website is quite comprehensive, and for small businesses it may actually be plenty and mean that you don’t need another website. If you want to use your own domain, you could simply redirect the url to your booking website.
However, we quite understand that you may want to integrate the booking website with your own website and with SimplyBook.me that’s easy peasy. You can integrate it using an iframe, and if you are using Wordpress there is also plugin.

Security Is ParamountSimplyBook.me puts security first. All data security is two fold, first it is secured so that unauthorized personnel cannot access any delicate data in storage or transit, and second to minimize the possibilities of data loss. All passwords are securely stored and all system communication are encrypted.
As for data backup, SimplyBook.me does daily backups between disks as well as server centrals. We also have further security options as custom features, such as SSL encryption on client communication with the system (SSL encryption on administration communication with the system comes as default) and the HIPAA custom feature, you get top notch security features approved for use by the US Medical Authorities. You can count on us. For the past 5 years our uptime has been over 99.98% and we aim to keep it there and better. Uptime reliability is as important to our business as it is to yours so we will not let you down.
If you want to delete sensitive old information you can use our Delete History custom feature where you clear old bookings from the system. Basically, you define when the bookings should be deleted (e.g. 1 week or 1 month after the appointment) and then the custom feature automatically deletes it according to those settings.

Add security to your account. You can use a 2-step authentication when logging into your account preventing unauthorized access. Upon entering password, you'll be asked to insert 6-digit login code from your Google authenticator or a 3rd party app.
Online & On-Site PaymentsNow you can enjoy a seamless experience all the way from booking through client checkout. With the online payment and native POS system, you can offer your clients to book your services online, sell gift cards, create promotions, accept online payments and accept cash or credit card payments on site.

In order to accept payments with credit card on-site, you need to get hardware from your payment processor (handheld device or mobile credit card reader). The hardware will not be directly connected but will work as a standalone with our software so you can choose which hardware you prefer.
The system has been optimized for iPad, Samsung tablets and mobiles but can also be used on other devices. It will work perfectly with laptops and PCs as well. After a client has received a service, you find the booking on the SimplyBook.me platform and choose whether the client wants to pay with credit card or cash and the system takes care of the rest.
With SimplyBook.me you can accept secure online payments through a wide range of payment processors enabling you to charge for your services when booked, in part or full. This can not only improve your cash flow but can also greatly reduce no shows. Simply connect with your payment service and set the price for your services.
- Charge the full price or partial price, such as a confirmation fee.
- We don’t add any charges to your payment processes nor charge extra for money transfer.
- Once the booking and payment are completed, the money is transferred straight to your account.
- If the client does not pay within the payment timeout, set by you, the booking will be automatically cancelled.

Coupons are very flexible; you can choose a fixed discount amount or percentage and define validity (specific days or even parts of the day). Send them to your clients by email or SMS to use during slow days or periods or whenever you want.
With SimplyBook.me you can create a promotion for your services offering discounts on all or selected services, to all or only new clients. Set the campaign duration and limit the time in which the offer can be claimed or the quantity available. You can also limit how often each client can claim the offer. The Product Sales feature allows you to sell products to clients before they confirm their booking, like selling a shampoo or a gel to a client that has just booked a haircut. You can connect related products to specific services, so that you propose a bottle of shampoo when the client is booking a haircut but a nail polish upon manicure booking.
The Service Add-on feature is used to sell certain add-ons to your service where the client receives something extra for an added price. An example would be some special product being used during the service that is of value to the client. He can select to add this add-on, or he can skip it, if he prefers your basic service. As you will see in the notifications section, SimplyBook.me can send an automatic email to your customers after service to request feedback from them. This feedback is then published on your booking site as a review, giving you valuable social proof.
To ensure that not just anyone from wherever can leave a review, customers are required use their Facebook account for identification. You can set the timing of the email and this feature can of course also be disabled.

As more and more businesses are listed, this is becoming a great resource for potential customers to find your business. The Facebook & Instagram Bookings feature allows you to accept bookings through those channels in four different ways:
- A “Book Now” button will be added to your Facebook page and Instagram profile.
- Create social posts that include a “Book Now” button, so clients can book directly.
- Allow clients to book through Facebook Messenger via an automatic booking link.
- Facebook will display a small scheduler on your profile that features services you want to highlight.
Do you want your potential local customers to find you on the first page of their Google search? Businesses that have a completed Google Business profile will rank higher on the list of local results. The integration allows you to import contact details, working hours, and most importantly include an online booking option by adding a “Book Now” button or a link to your booking page, directly from your SimplyBook.me platform to Google.It’s a big old world out there and even though we think it would be a great idea if everyone just spoke Esperanto, that’s not likely to happen any time soon. So that’s why we provide SimplyBook.me in lots and lots of different languages.
